Position Summary

The CAPS Enrollment Coordinator is part of the team responsible for student recruitment and promotion for programs within the College of Adult and Professional Studies. This full-time position is directly involved with admissions to the CAPS Adult Evening, Church Partnership and Concurrent Credit programs. The individual often makes the initial contact with prospective student inquiries and tracks the application progress through the CRM. The Coordinator ensures information accuracy of prospective student files. The individual represents the university’s mission and core values through a pro-active, friendly, and engaging demeanor.

Essential Functions

1.    Coordinate recruitment and initial enrollment of new students for assigned programs and student groups.

  • Make initial or continued contact with prospective students, including by phone and email.
  • Establish rapport, deliver information, respond to questions, and assist students with overcoming obstacles to enrollment.
  • Track and maintain records of prospective students and applicants using the university’s admissions software.
  • Collect prospective student transcripts and coordinate transcript evaluation through the Registrar’s Office and send to student upon completion.
  • Coordinate admission, registration and grading for the Concurrent Credit Program.
  • Accurately communicate information about other programs offered at the university.
  • Support the overall CAPS and university student recruitment and admissions processes as assigned.

2.    Manage CAPS Admissions data.

  • Ensure smooth data processing between the CRM and PowerCAMPUS.
  • Maintain data integrity of CAPS Programs.

3.    Performs other work-related duties as assigned

Education/Experience/Skills

1.    Two or more years of significant sales experience, preferably in higher education.
2.    Bachelor’s degree preferred.
3.    Strong computer skills with Microsoft products, particularly Outlook, Word, and Excel, along with appropriate web-based programs.
4.    Communication skills that are evident through phone conversations and email correspondence.
5.    Exceptional people skills and ability to build program credibility and confidence with potential students.
6.    Ability to track and follow-through details, which is essential for contact follow-up.
7.    Ability to track, prioritize, and meet work deadlines.
8.    Ability to work flexible hours during the week.
9.    Team player who is also a self-starter who can work independently.
10.    Knowledgeable in the area of accelerated academic programs and adult learning.
11.    Demonstrate commitment to maintaining a safe work environment free of harassment, violence, and unlawful discrimination.
12.    Ability to communicate effectively, get along well with co-workers, and deal effectively and professionally with colleagues.

Working Environment

1.    Work is generally performed indoors in a typical office setting. 
2.    Minimal travel, including overnight trips, may be required.  
3.    Position works with strictly confidential information.
4.    Frequently required to be in front of a computer screen for long periods of time.

Physical Demands

The functions are usually performed while standing, but may involve some amount of time sitting, stooping, kneeling, bending, crouching, lifting (max. of 40 lbs.), walking, carrying, reaching, stretching, climbing, perform repetitive motions of the hands or wrists and other movements.  The abilities of seeing, hearing and speaking are also required.
