Executive Assistant

Position Summary
Provides administrative support to the Chief Financial Officer and Administrative Services Department, and oversees promotion, scheduling, and coordination of external facility rentals at Northwest University.
Essential Functions
Administrative duties
- Manage projects, ensuring timelines and deliverables are met.
- Provide executive support for the CFO, including scheduling, meeting preparation, business filings, committee coordination, and liaison with internal teams and high-level stakeholders.
- Handle operational tasks, such as purchasing and restocking kitchen supplies.
Conferences, Rentals, and University-wide events
- Coordinate facility rentals and events, including responding to inquiries, negotiating contracts, and managing rates, insurance, guidelines, and payments.
- Collaborate with departments and administrative teams to plan and execute events, ensuring seamless integration with university activities and an excellent guest experience.
- Oversee on-site event operations, including setup, guest reception, and closing, with availability for evening and weekend events.
University Calendar
- Manages the university-wide calendar and serves as co-chair of the Calendar Review Committee, ensuring accuracy and timely updates.
Education/Experience/Skills
- Minimum three years’ experience as an executive assistant with event management, event planning, or hospitality.
- Proven administrative expertise with exceptional organization, attention to detail, and resourcefulness.
- Ability to prioritize independently, manage multiple projects, and adapt to dynamic environments.
- Skilled in negotiation and effective oral and written communication with tact and diplomacy.
- Experienced in event planning and capable of managing several events simultaneously.
- Collaborative team player with strong relationship-building skills.
- Flexible to work evenings and weekends; committed to a safe, respectful, and professional workplace.
Working Environment
- Work is generally performed indoors in a typical office setting.
- Some weekend/evening work required.
- Position works with strictly confidential information.
- Frequently required to be in front of a computer screen for long periods of time.
Physical Demands
The functions are usually performed while standing, but may involve some amount of time sitting, stooping, kneeling, bending, crouching, lifting (max. of 40 lbs.), walking, carrying, reaching, stretching, climbing, perform repetitive motions of the hands or wrists and other movements. The abilities of seeing, hearing and speaking are also required.
Compensation
Based on education and experience, the position has a hiring range of $22.00/hour to $23.50/hour plus excellent benefits.
