Admissions Operations Graduate Assistant

Position Summary
The Admissions Operations Grad Assistant supports the daily functions of the Admissions Office by ensuring efficient communication, accurate data management, and smooth operational processes. This role plays a key part in maintaining the integrity of applicant data, facilitating admissions workflows, and supporting prospective student engagement. This is a part-time, non-exempt position at 20 hours per week.
Essential Functions
- Oversees transcript processing for all undergraduate and graduate programs, including receiving, scanning, uploading, and processing documents and information in Salesforce.
- Administers daily Admissions mailings, including inquiry communications, acceptance and deposit packets, and other marketing materials according to established workflows.
- Manages the Admissions email inboxes by responding to inquiries, answering questions about application statuses, and forwarding other messages to the appropriate university office in a timely manner.
- Conducts outreach to applicants to request official transcripts and other documents needed to complete applications.
- Supports CRM data integrity by assisting with audits and cleanup efforts across university departments.
- Provides operational and logistical support during Admissions events on campus.
- Assists with weekly inquiry imports from external vendors, ensuring accurate and timely data entry into Salesforce.
- Monitors and maintains inventory of marketing materials and mailing supplies; ensures organization and cleanliness of Admissions storage rooms.
- Collaborates with the Advising and Admissions department to determine placement testing needs for incoming students prior to their registration appointment.
- Offer additional administrative and operational support to the Director and Assistant Director of Operations as needed.
Education/Experience/Skills
- Must be a current graduate student at Northwest University
- Must have or develop basic knowledge of Northwest University programs, student life, and admissions requirements.
- Previous experience in customer service, being detail oriented, and/or familiar with phone work is desirable.
- Must be a team player, enthusiastic about the mission of Northwest University, and maintain a positive attitude.
Working Environment
- Work is generally performed indoors in a typical office setting.
- Position works with strictly confidential information.
- Frequently required to be in front of a computer screen for long periods of time.
Physical Demands
The functions are performed while standing or sitting. Some amount of time may be spent stooping, kneeling, bending, crouching, lifting (max. of 40 lbs.), walking, carrying, reaching, stretching, climbing, performing repetitive motions of the hands or wrists and other movements. The abilities of seeing, hearing and speaking are also required.
